Pre Suit Scheduler Bilingual
About the Role
We are looking for a highly organized and client-focused Pre-Suit Scheduler to join a growing U.S.-based Personal Injury Law Firm.
In this role, you will be responsible for coordinating medical appointments, managing treatment schedules, following up with clients, and ensuring all treatment-related activities are properly tracked and documented. You will serve as a key point of contact between clients, attorneys, and medical providers, helping deliver an exceptional client experience while keeping cases moving forward efficiently.

Key Responsibilities
Schedule and coordinate medical appointments, therapy sessions, specialist evaluations, and follow-up visits.
Maintain ongoing communication with clients regarding appointments, treatment plans, and scheduling updates.
Follow up with clients who miss appointments and assist with rescheduling.
Coordinate meetings between clients and attorneys.
Manage calendars and appointment schedules across multiple cases.
Track treatment progress and maintain accurate records within internal systems.
Request and follow up on medical records and treatment documentation.
Collaborate with attorneys, case managers, and medical providers to ensure timely case progression.
Provide professional, empathetic, and responsive support to clients throughout the process.
Requirements
Advanced English proficiency (B2+ required).
Minimum 1 year of experience in scheduling, coordination, administrative support, customer service, or a similar client-facing role.
Experience managing appointments, calendars, or coordinating schedules.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Ability to work in a fast-paced environment while maintaining attention to detail.
Proficiency with Microsoft Outlook, Zoom, and standard office tools.
Preferred Qualifications
Experience as an Appointment Scheduler, Appointment Setter, Patient Coordinator, Client Coordinator, Administrative Assistant, Customer Service Representative, or similar role.
Experience in legal, healthcare, medical office, or administrative environments.
Familiarity with case management software such as Filevine.
Experience supporting U.S.-based clients or teams.
