We are seeking a highly proactive and forward-thinking Executive Assistant to support our Director of Client Relations, with a dotted-line relationship to the Director of Business Development.
This role goes beyond traditional administrative support were looking for someone who anticipates needs, thinks strategically, and takes initiative. The ideal candidate excels at executing tasks with precision while proactively identifying opportunities, solving problems, and keeping leadership ahead of priorities.
You will play a key role in managing communications, supporting client engagement, and contributing to business development initiatives through research and prospecting.
Key Responsibilities Executive & Strategic Support
Provide high-level administrative and operational support to senior leadership
Anticipate needs and proactively manage priorities with minimal supervision
Ensure smooth execution of daily operations and strategic initiatives Calendar & Communication Management
Manage complex calendars, scheduling, and coordination of meetings
Handle executive communications, including emails, follow-ups, and internal coordination
Serve as a liaison between executives, internal teams, and external clients Business Development & Research
Conduct market research and identify potential prospects
Perform canvassing activities to support outreach and growth initiatives
Gather, analyze, and synthesize information into actionable insights Client Relations Support
Support client engagement initiatives and follow-up activities
Track relationships, deliverables, and communication within CRM systems
Maintain professional and consistent communication with clients Reporting & Process Improvement
Prepare reports, track key metrics, and maintain organized records
Identify risks, opportunities, and areas for process improvement
Ensure strong follow-through and high-quality execution across all tasks
Qualifications
2+ years of experience as an Executive Assistant or similar role supporting senior leadership
Proven experience in client-facing or business development environments
Exceptional English communication skills (written and verbal)
Advanced proficiency in Microsoft Office Suite, especially Excel
Experience with CRM platforms (GoHighLevel strongly preferred)
