We are building a world-class operations team in Colombia to support our rapid growth. We are looking for a highly organized, proactive, and detail-oriented Administrative & Operations Coordinator to help manage critical day-to-day back-office operations.
This is a high-responsibility role with significant opportunity for long-term growth as the company scales.
Role Overview
You will support business operations by handling invoicing, client/vendor compliance documentation, cleaner onboarding and documentation, HR coordination, outbound calls, and administrative process management.
You will work directly with leadership and help ensure our internal systems run smoothly and efficiently.

Key Responsibilities: Invoicing & Billing Administration
Prepare and send invoices accurately and on time
Track invoice statuses and follow up on outstanding balances
Maintain organized billing records
Coordinate with leadership on billing discrepancies
Prequalification & Compliance Management
Complete and track vendor/client prequalification packages
Gather required compliance documentation
Ensure all documentation is accurate and submitted on time
Maintain organized compliance files
Cleaner Onboarding / HR Administration
Call and screen new cleaner applicants
Collect and verify onboarding documentation
Maintain cleaner records and profiles
Coordinate onboarding workflow and follow-up
Track hiring pipeline and onboarding progress
Outbound Calling & Communication
Contact cleaners for scheduling and documentation follow-up
Follow up with vendors and operational contacts
Communicate professionally with U.S.-based stakeholders
Administrative Systems Management
Update company CRM and internal systems
Document tasks and communications clearly
Maintain accurate internal records
Support workflow improvements and process optimization
Qualifications
Required:
Excellent English communication (written and verbal)
Strong organizational skills
High attention to detail
Strong follow-up discipline
Comfortable making frequent phone calls
Experience with spreadsheets, CRMs, and admin systems
Reliable internet and quiet work environment
Self-managed and highly accountable
Preferred:
Experience in operations, invoicing, HR coordination, or administrative support
Experience using:
HubSpot
Google Workspace
Excel / Google Sheets
CRM / workflow tools
Experience working with U.S.-based companies
