About Us
We are a growing independent insurance agency in the United States specializing in both personal and commercial insurance. We are seeking a highly organized, detail-oriented, and professional Insurance CSR / Virtual Assistant to become a key member of our team.
This is not a general virtual assistant role. We are looking for someone with prior experience working for a U.S.-based insurance agency who understands insurance terminology, carrier portals, endorsements, certificates of insurance, renewals, and customer service.
Responsibilities
- Answer incoming client calls using our VoIP phone system
- Handle client requests related to:
o Certificates of Insurance (COIs)
o Billing questions
o Policy changes
o Payments
o New quote requests
- Process Certificates of Insurance and review policy requirements
- Request endorsements when additional insured, waiver of subrogation, primary & non-contributory wording, or other language is needed
- Process endorsements and policy change requests
- Add or remove vehicles and drivers
- Send insurance ID cards and proof of insurance
- Process lender and mortgagee requests
- Assist with policy renewals and remarketing
- Enter new policies and client information into our Agency Management System (NowCerts)
- Generate insurance quotes through carrier websites
- Follow up with clients for missing information and documents
- Process cancellations, reinstatements, and non-payment notices
- Assist clients with payment processing and autopay enrollment
- Maintain accurate records within the Agency Management System
- Monitor policy expiration dates and renewal workflows
- Send renewal reminders and policy correspondence
- Assist with commission reconciliation and administrative projects
- Conduct client outreach for policy reviews and cross-selling opportunities
Required Qualifications
- Excellent spoken and written English
- Neutral, professional phone presence suitable for U.S. clients
- Minimum 2 years experience working for a U.S.-based insurance agency or brokerage
- Experience handling commercial insurance accounts
- Strong understanding of:
o Certificates of Insurance (COIs)
o Endorsements
o Policy changes
o Renewals
o Carrier websites
- Ability to work full-time during U.S. Eastern Time business hours
- High-speed, reliable internet connection
- Quiet home office environment
- Strong computer skills and ability to learn new software quickly
- Experience with Microsoft Office and Google Workspace
- Exceptional attention to detail and organizational skills
- Ability to manage multiple tasks without constant supervision
Preferred Qualifications
- Experience with NowCerts
- Experience with commercial insurance carriers
- Experience with claims or premium audits
- Experience with personal lines insurance
- Experience with CRM and workflow automation tools
- Insurance designations or formal insurance training
- Dual-monitor workstation
