Answer phones, take messages and transfer calls to different areas
Conduct initial application request processing for staff:
o Perform primary source verification on professional license, background screenings, drivers license and reference
o Copying all necessary documents
o Ensuring application packets are filled out completely and accurately
Opening agency file and filing documents accordingly, maintaining confidential information
Maintain HR files up to date:
o Run regular reports to identify expired documents
o Contact staff to notify them of expired documents
o Ensure staff submits updated documents on a timely basis.
o Notify Administrator, President and HR Director of staff that has expired documents
Pull list of active staff members once a case is received
Discuss rate changes with HR Director, President and Administrator
Run reports to determine when agency actions are required, including documents that need to be signed by Administrator
Assist HR Director, Administrator and President in coordinating staff to attend meetings and In-Service Training Programs.

Assist with:
o Scheduling vacations and time off requests made by personnel.
o Marketing activities and coordinating meetings
o Ensuring that marketing material supply is in stock and available at all times.
o Printing out staff invoices from Agency system and delivering to Administrator for check processing
o Pulling expired documents reports to hold discussions with staff prior to payday to ensure documents are received on time
o Ensure all staff invoices are signed by receiving staff member
o Maintain a record of all processed staff invoices
o Follow all Agency regulations and standards, including:
o Confidentiality of human resources data is maintained.
o Discussing human resource issues with Administrator / Case Management, HR Director as necessary.
o Other duties, as assigned by Administrator / H.R.D/ President



*Requirements:*

- Fluency in English with a minimal accent is required.
- Strong communication and interpersonal skills, with the ability to connect with people over the phone.
- Confidence and assertiveness to overcome objections and secure appointments.
- Excellent organizational skills and the ability to multitask effectively.
- Previous experience in appointment setting, customer service, or sales is preferred.
- Familiarity with Medicaid and the healthcare industry is a plus.

- Must possess the Chispa, which entails being confident, personable, and able to connect with others effortlessly.
- Demonstrated ability to conquer challenges and approach each day with a positive attitude.

*Additional Information:*
- Successful candidates will be provided with a list of potential clients, primarily pediatrician offices, to contact for appointment scheduling.
- Knowledge of Medicaid and the ability to find lists of doctors who accept Medicaid is crucial for this role.
