Studio Rodrigo Buelvas is seeking a highly organized, articulate, and proactive Executive Assistant & Business Development Coordinator to serve as a trusted partner to upper management.
This role extends beyond traditional administrative support. It is a position for someone who understands the pace and expectations of a design practice and can help create the structure, organization, and communication necessary for creative work to thrive. The ideal candidate is equally comfortable coordinating executive schedules, managing client communications, nurturing new business opportunities, and ensuring that important initiatives move forward with clarity and efficiency.

QUALIFICATIONS

- Bachelor?s degree in Interior Design, Architecture, or a related design discipline.
- Minimum 2?3 years of professional experience within an architecture, interior design, or multidisciplinary design studio.
- Fluent in English, both written and verbal.
- Strong organizational, communication, and client-facing skills.
- Must be available for occasional overtime and schedule flexibility when required by project or business demands.

KEY RESPONSIBILITIES
Business Development & Client Relations
- Conduct outreach and follow-up through Houzz Pro, website, WhatsApp and all social media platforms.
- Conduct email campaigns as well as outbound cold-calling efforts.
- Qualify new leads and coordinate introductory meetings.
- Support proposal preparation and business development initiatives.
Executive Support
- Provide direct administrative and personal assistance to upper management.
- Assist with personal and professional tasks as assigned.
- Manage daily priorities, schedules, appointments, and follow-up activities.
- Schedule and coordinate all meetings for upper management, including in-person meetings, virtual meetings, client
presentations, and internal reviews.
- Manage upper management calendars and ensure alignment with Studio priorities.
- Coordinate closely with Operations Team regarding all assigned tasks, priorities, and ongoing initiatives involving upper
management.
- Anticipate needs and proactively, resolve scheduling or logistical conflicts.
- Manage and monitor the studio?s email inbox.
- Respond to inquiries professionally and promptly.
- Maintain organized records of correspondence and follow-up actions.
- Track action items and ensure timely completion.
- Maintain discretion and confidentiality in all matters.

WORKING STRUCTURE
- This is a full-time remote position requiring a commitment of [at least] 40 hours per week.
- The candidate must be available to work during United States business hours, Monday through Friday, including United States business calendar and holidays, regardless of the candidate?s country of residence.
- Occasional additional hours may be required to support business needs, client deadlines, meetings, or special projects.
- Responsiveness during designated working hours is essential.
- Candidates must have a reliable internet connection and professional work environment capable of supporting daily communication and virtual meetings.
