Position Overview
The Administrative Assistant will play a key role in ensuring smooth daily operations, focusing on customer service, order accuracy, and administrative responsibilities. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently. A customer-focused attitude and strong administrative competence are essential for success in this position.
Responsibilities
Customer Service: Promptly and professionally respond to customer inquiries via email and phone.
Assist customers with product information, order updates, and issue resolution.
Maintain a customer-centric approach in all interactions.
Order Management: Review orders for accuracy and approve them for production.
Communicate with the production team to ensure deadlines and requirements are met.
Billing and Financial Coordination: Verify invoice accuracy and compile them for weekly payments.
Calculate affiliate commissions and ensure timely report submissions.
Content Writing and Marketing: Write engaging newsletter sequences for various audiences, using ChatGPT as a creative tool.
Assist in crafting marketing communications aligned with the brands tone and standards.
Administrative Support: Perform additional assigned administrative tasks to ensure efficient workflow.
Maintain organized records of correspondence, orders, and invoices.
Requirements
Essential Skills and Experience:
Proven experience in customer support or administrative roles.
Strong written communication skills with attention to detail.
Highly organized and capable of managing multiple tasks simultaneously.
Proficiency in using productivity tools like Microsoft Office, Google Workspace, or similar platforms.
Preferred Qualifications:
Knowledge of the photography or luxury goods industry is a plus.
Proficiency in Adobe Photoshop and basic design principles.
Experience with email marketing tools and CRM platforms.
