Schedule: Monday Friday 8:00 AM 5:00 PM,
The File Processing Specialist is responsible for opening and setting up new personal injury cases in the case management system. This role ensures that all client information, legal documentation, incident details, parties, and insurance data are accurately entered and properly documented so that cases are fully prepared for legal team review.
Responsibilities:
File Opening & Documentation
Open and process newly assigned cases in the case management system.
Download, rename, and correctly upload intake documents, including contracts, photos, and supporting files.
Ensure all required documents are complete, accurate, and properly categorized.
Client Communication
Generate retention letters using approved templates (English or Spanish based on client preference).
Send welcome emails to clients with attached contracts and retention letters.
Verify client contact information prior to communication.
Incident & Case Data Entry
Update the Incident tab with accident descriptions, notes, and locations.
Correct terminology as required and ensure clarity and accuracy of information.
Identify client role (driver, passenger, pedestrian) when available.
Parties & Insurance Management
Create and update parties including plaintiffs, defendants, insurance companies, adjusters, and investigating agencies.
Open insurance claims by contacting insurance carriers when applicable.
Record claim numbers, adjuster details, and contact information.
Generate and send required insurance-related letters (PIP, UM, PD, Liability).
Quality Control & Case Readiness
Add detailed notes summarizing actions taken on each file.
Complete and submit the File Opening Checklist.
Ensure the file is fully prepared and ready for legal team review.
Skills
· Conversational English level B2+.
· Bachelors Degree in a related field (Law) and postgraduate studies
· 1+ years of related experience at a law firm or in-house legal department or other legal background/experience
